Calculating salary and commission: turning period-end pay into expenses

Automatically calculate each staff member's base salary and their service, product, package, class and group-event commission for the period you choose, review it, and turn it into expense records in one step.

The Calculate Salary & Commission tool removes the manual work of month-end staff payments: it totals each staff member's base salary and earned commission for the period you choose, and on your approval turns them into expense records.

Opening the tool

  1. Go to Accounting → Expenses from the left menu.

  2. Click the “Calculate Salary & Commission” button at the top.

1. Date range

Choose the period the calculation covers: This Month, Last Month, Last 7 Days, Last 30 Days or Custom (Start and End Date).

If you pay salaries at the beginning of each month, “Last Month” is the right choice — that way a fully closed period is calculated.

2. Selecting staff

Tick the staff you are paying. “Select All” ticks everyone and “Clear Selection” removes all ticks.

If you see a “Salary and commission settings not configured” badge next to someone, their salary and commission settings must first be defined on the Staff screen. No automatic calculation is done for that person — you can still enter the amount by hand and save it.

3. Calculating

When you click “Calculate”, the results are listed category by category:

  • Base Salary: the person's defined monthly salary.

  • Service Commission: commission earned from the services they delivered.

  • Product Sale Commission: commission from the products they sold.

  • Package Sale Commission: commission from the packages they sold.

  • Class Commission: commission from the classes they taught.

  • Group Event Commission: commission from the group events they ran.

Each category lists the individual transactions behind it plus a category total, with a Grand Total at the bottom. Review the amounts before saving and correct them by hand if needed.

4. Saving

When you click “Save”, an expense record is created for each selected staff member. These appear in the Expenses list, show up as expenses in the cash register report, and feed the “Payments Made to Staff” tile in the staff report.

If a salary/commission expense was already recorded for that person in the same date range, the system warns you and tells you how many records exist. Read this warning carefully so you do not record a second payment by mistake; if you really are making an extra payment, continue with “Save anyway”.

If you only want to see the calculation without saving, leave with “Cancel” — calculating on its own creates no records. Only “Save” creates expenses.
