Online payments: sending a payment link for a receivable

Send a payment link for your customer's open debt; the customer pays by card and the receivable closes automatically. Turning it on, sharing the link, the Online Payments list, cancelling and refunding to the card are here.

Last updated: 7 November 2026

Online payments create a payment link for your customer's open debt (receivable). The customer opens the link, pays by card and the receivable is marked collected automatically. The money goes to your business's Paynkolay merchant account; it does not come to Piyzi.

Before you start

  • Pilot access: online payments are in pilot. Contact Piyzi to have them turned on for your business.

  • A connected Paynkolay account: the business owner must have connected the Paynkolay merchant account (see Paynkolay Virtual POS: connecting your merchant account).

  • An online booking page address: the payment page opens on your business's online page address; without one, no link can be created.

  • Permission: to send a link your role needs the Can edit payments (“Ödeme düzenleyebilir”) permission — the one behind Collect. Refunds need a separate permission (below).

Turning online payments on

  1. 1
    Open the Paynkolay window

Open My Business → Pi Store from the left menu and click the Paynkolay Virtual POS card.

  2. 2
Turn on the Online payments section

In the window's Online payments section, switch it on, choose the Default link validity and click Save. Validity is between 1 and 30 days; the default is 7 days.

Only the business owner can change this setting. If Piyzi has not turned online payments on for your business, the section shows the pilot note.

Pending receivables: a sales card receivable, a package instalment, a facility rental and a class enrolment receivable. No link can be created for group event and membership receivables. The amount is the receivable's amount; the customer cannot enter a different amount. No link can be created for a receivable of 0.

The Send payment link button appears in these places:

  • Finance → Receivables: on a pending row.

  • Customer detail → Debts tab.

  • Sales card → Collections card, under the pending receivable.

  • Package detail: on a pending instalment in the payments section.

  • Facility rental: in the payments section of the reservation window.

  • New package sale: if you tick Collect by link on an instalment added as a receivable in the payment plan, a link window opens for those instalments one by one after the sale.

Clicking the button opens the Payment link window with the amount, the customer and the last day. If a link was already opened for this receivable and has not expired, the same link is shown, so the customer cannot pay twice with two different links.

  • Share it yourself: Copy link, Copy message, Open in WhatsApp and QR code. The message includes the business name, the amount, the link and the last day.

  • SMS: sent only through your business's own SMS integration; the cost comes out of your business's SMS credit. The window shows the approximate number of SMS. Without an SMS integration, or if the connected provider cannot send it yet, the button is disabled; hover over it to see why.

  • App notification: free. A notification goes to the customer's Piyzi app and is written to the Notifications screen in the app.

Piyzi does not send payment links by SMS or WhatsApp from its own account; you share the link yourself or send it with your own integration.

Changing the validity: choose the validity in the Link validity section at the bottom of the window and click Create new link. Once a new link is created, the old one stops working.

What does the customer see?

  • The link opens a secure payment page on your business's online page address: the business name, what the payment is for (package name, facility and day, class name or service payment), the amount and the last day.

  • With the pay button the customer moves to the payment institution's page and pays by card in a single payment with 3D Secure. Card details never reach Piyzi or your business.

  • If the payment fails, the customer can try again from the same link; the receivable stays open.

  • A link that has expired, was cancelled or whose debt changed takes no payment and tells the customer to contact the business.

  • In the test environment the page says “Test environment — no real payment is taken”.

When the payment comes in

  • The same receivable record is marked collected; no new record is added next to it. The payment date is when the payment was taken, and the method reads “Online · Paynkolay”.

  • The paid and remaining amounts of the sales card or facility reservation are updated. An online payment does not mark the sales card or appointment completed.

  • The business owner and the staff member who sent the link get an “Online payment received” notification; the customer gets a “Payment received” notification in the app.

  • Even if the customer closes the page after paying, the payment is processed automatically within a few minutes.

An online payment cannot be edited or deleted, and a sales card or package with an online payment cannot be deleted. To reverse it, refund the payment to the card from Online Payments.

The Online Payments list

The Finance → Online Payments page shows the links sent, their results and refunds. Statuses: Pending, Paid, Expired, Cancelled, Refunded and Needs review. Click a row to open the detail: payment attempts, the card's last four digits, shares and sends.

  • Cancelling a link: Cancel payment link in the detail stops the link from working; the receivable stays open.

  • Needs review: shown when a second payment came in through the same link, or when money was taken but could not be applied to the receivable (the receivable was changed, deleted or collected another way in the meantime). Check it according to the explanation in the detail and refund to the card if needed.

Refunding to the card

Refund to card in the detail refunds the WHOLE payment to the customer's card; there are no partial refunds. A refund can be made within 180 days of the payment date.

  • Who can do it: the business owner, or staff whose role has the Can refund online payments (“Online ödemeyi iade edebilir”) permission. This permission is not given to any ready-made role; the owner can add it to a custom role.

  • The payment record becomes Cancelled and the amount comes off the cash register of the payment day. If you like, tick Reopen the receivable with the same due date to reopen the debt.

  • The refund is made from your balance at the payment institution; it usually reaches a credit card in 1–3 and a debit card in 7–14 business days. The commission the payment institution took is not returned with the refund.

  • If a same-day cancellation is not accepted, the refund is sent automatically the next day; the detail shows Refund scheduled.

Changing or removing the Paynkolay connection

  • When you remove the connection, no new payments can be taken and open payment links are cancelled.

  • If there are refundable online payments, the details are kept only for refunds; you still refund from Online Payments.

  • While there is a refundable payment or an attempt awaiting its result, you cannot switch the Paynkolay account to a different merchant; renewing the same account's keys is fine.

Troubleshooting

  • The button is not shown: online payments are not on for your business, or your role does not have the “Can edit payments” (“Ödeme düzenleyebilir”) permission.

  • “Online payments are not active for this business.” Check the Online payments section in the Pi Store → Paynkolay window.

  • “The business has no online page address, so a payment link cannot be created.” Create your page address in the Online Booking setup.

  • “A payment link cannot be created for this receivable.” The receivable is no longer open, its amount is 0 or it has changed; refresh the list and try again.

  • “The link cannot be sent through this channel.” Check your SMS integration or the customer's phone number; you can copy the link and share it yourself.
