Adding a new customer (one by one and in bulk)

Learn the fields in the Add Customer window, the unique phone rule, the guardian mechanism, billing information and the Bulk Add Customers wizard that also sells packages and subscriptions.

Last updated: 27 October 2026

The New Customer button at the top right of the Customers page (or Create → Create Customer in the top bar on any page) opens the "Add Customer" window. It has two tabs: Customer Information and Billing Information. Only the First Name and Last Name are required — every other field, phone included, can be left empty. Adding customers needs the permission to create customers.

  1. 1
    Open the window

Click Customers → New Customer, or Create → Create Customer in the top bar.

  2. 2
    Fill in the required fields

Type the First Name and Last Name. While the first name is empty the Save button is disabled; an empty last name shows "Last name is required".

  3. 3
Enter any other details you need

Fill in fields such as phone, e-mail, tags, source, guardian and address as described below; if invoices will be issued, switch to the Billing Information tab.

  4. 4
    Save

Press Save. "The customer was added successfully" appears; if you opened the window from the Customers list, the list refreshes and the new customer shows at the top under Newest. If you have an active "On New Customer Registration" automation (e.g. a welcome SMS), it runs for this customer.

Customer Information tab

  • First Name / Last Name: required fields.

  • Photo (optional): click the round area at the top of the form and choose a JPEG, PNG or WEBP photo; in the window that opens, drag and zoom to frame it and press Save. The photo is cropped to a square and uploaded at 150×150 pixels right after the customer is saved. The field only appears for staff allowed to update customer details. If the photo can't be uploaded, the customer is still added; you can add the photo later on the customer's page.

  • Phone Number: Turkey (+90) is preselected; you can pick another country code from the flag. SMS and WhatsApp messages go to this number. If the same number is already registered to another customer of your business, the customer is not saved and "This phone number is already registered." appears (numbers of deleted customers are not checked). For family members sharing one phone, use the Guardian field below.

  • Secondary Phone Number: used in search and to match incoming WhatsApp messages to the customer; messages are not sent to the second number.

  • Email: the customer's contact detail and searchable. Customer notifications are sent by SMS, WhatsApp and app notification, not by e-mail.

  • Instagram Username: written without the @ sign — it is used to match incoming messages to this customer in the Instagram messaging integration.

  • Gender and Date of Birth: demographic details; the date of birth is picked quickly with the year/month menus. They power the gender and Birth Month filters on the list.

  • Registration Date: the date you enter here is not stored as the customer's registration date; the registration date is the day you add the customer to Piyzi (the Registration Date filter and the Newest / Oldest sorting on the list use that day). The field affects automations: if you pick a day before today, the "On New Customer Registration" automation (e.g. a welcome message) does not run for this customer; if you leave it empty or pick today, it runs. When moving existing customers over from an old system, pick a past date so no welcome message goes out.

  • Tags: multi-select from the tags you defined on the My Business → Settings → Tags card; new tags are not created in this window.

  • Source / Channel: where the customer came to the business from (Instagram, signage, word of mouth...). Channels are managed on the My Business → Settings → Customer Sources card. If you may add channels, type a name and pick "Create: …" to add a new one right here. Picking the built-in "Referans" (referral) channel opens a "Referring Customer" search underneath (type at least 2 characters). Channels are reported in Reports → Channel/Source Report.

  • Guardian (optional): if you are adding a customer with no phone of their own (a child, a spouse, a relative), search for and select the customer who owns the phone and acts on their behalf (at least 2 characters; only customers who are not linked to someone else are listed). If the linked customer has no phone, appointment, finance and automation SMS/WhatsApp messages go to the guardian's phone, and app notifications land on the Notifications screen of the guardian's Piyzi app with the customer's name in front (e.g. “Ali · Your appointment is tomorrow”). If you give the linked customer a phone of their own, messages go to that number.

  • Address: country/province/district menus and a Full Address field.

Details such as allergies, special preferences or the dye formula used are not entered in this window: after saving the customer, you keep them with a topic and date on the Notes tab of the customer card, and they also show on every sales card and in the appointment window of the customer (see the Customer notes article).

Links are one level deep: a customer linked to another guardian cannot be chosen as a guardian ("The selected customer is linked to another responsible person, so they can't be chosen as one."), and a customer who has linked customers cannot be linked to someone else.

Billing Information tab

Entering billing information is optional; if you leave it empty, the sale is sent to the POS as an end consumer. First pick the Invoice Type; the fields open according to your choice:

  • Individual: National ID No. (11 digits), First Name and Last Name.

  • Corporate: Title, Tax No. (VKN, 10 digits) and Tax Office.

  • Both: Province, District and Billing Address.

Province and district are needed to issue an invoice; if you leave them empty, the province/district in the customer's address is used, or your business's province/district if that is empty too. If the National ID No. is not 11 digits or the Tax No. not 10 digits, the sale is still sent as an end consumer. Billing information is used when you send a sales card to the POS device through the Ödeal Physical POS integration in Pi Store; the National ID No. also fills the national ID field in consent forms.

Bulk Add Customers

To enter the customers from your old system back to back, together with their packages and subscriptions, use the Bulk Add Customers button on the Customers page. In the three-step wizard, each time you save a customer with Save and Add Another Customer the form clears and you move on to the next one; a "N customers saved" counter appears in the title.

  1. 1
    Customer Information

First Name and Last Name are required. You can also enter Phone, Email, Gender, Date of Birth, Registration Date and Source / Channel (Registration Date works as in the single form). The secondary phone, Instagram username, tags, address, guardian and billing information are not part of this wizard; add them afterwards from the Edit window on the customer detail page if needed, and notes from the Notes tab. Move on with Continue.

  2. 2
    Package Sale (optional)

With From a template, pick the Package Template; the contents, price and validity come from the template (a template with an empty validity is sold open-ended). With Manual, enter the Package Name (required) and Validity (days) — 365 by default, leave it empty for a package that never expires — and add lines to Package Contents with Add Service or All Services.

Each line has Total Quantity and Used: enter the credits already used in the old system in Used (e.g. 2 if 2 of 10 classes were used); the remaining credits become Total − Used. Used must be between 0 and the total quantity. Sale Date defaults to today; you can pick a past date and the package expiry is calculated from it.

If the price is above 0, the Payment Plan opens: use Add Collection to add a line for payments already received (Payment Date) and Add Receivable for future debt (Due Date), and pick a Payment Method on every line; with several lines, Distribute Evenly splits the amount. The lines must add up to the price (until Remaining is 0); otherwise "The payment plan total must equal the price." appears. Every line's date defaults to today; on a receivable line set the Due Date to the day the payment is expected — left at today, the receivable shows as overdue straight away. The payment method is not preselected; choose it on each line. If you are not selling a package, press Skip.

  3. 3
    Subscription Sale (optional)

With From a template, pick the Subscription Plan; with Manual, the Subscription Title and End Date are required (the end must be after the start). The Start Date defaults to today. The price and payment plan follow the same rules as the package. Leave the fields empty if you are not selling a subscription; the summary at the bottom shows what will be sold.

  4. 4
    Save

Save and Add Another Customer saves the customer, clears the form and keeps the wizard open; Save and Finish saves and closes the window.

Bulk Add Customers runs the same automations as adding customers one by one: "On New Customer Registration" (unless you picked a Registration Date before today), "When a Package Is Sold" and, for receivable lines, "When a Receivable Is Created". If you don't want these messages to go out while moving your existing customers over, enter a past Registration Date and switch the related automations to inactive on the Automations page until the move is finished.

If the package or subscription sale cannot be saved, the customer is still saved and a warning such as "The customer was saved but the package sale failed." appears; make that sale for the customer separately. If you already have an Excel/CSV list, the Import wizard is faster: it runs no automations, but it does not bring packages or subscriptions over either (see the Importing customers from Excel/CSV article).
