Google Calendar (Meet) integration: connecting, using and removing

The card in the Pi Store is called Google Calendar, but what it does today is create a calendar event for your online appointments and produce that event's Google Meet link. If the appointment is rescheduled the event is updated; if it is cancelled the event is deleted. The flow is one-way: existing events in your Google Calendar are not brought into Piyzi.

Prerequisites

• A Piyzi account with an active subscription.

• Pi Store edit permission, or being the workspace owner.

• A Google account that can create calendar events. Free Gmail accounts work.

• Events are created in the primary calendar of the Google account you connect. Piyzi does not place its own account in between.

Adding the app

1. In the left menu, open My Business → Pi Store.

2. Under the Online Meeting heading, click the Google Calendar card.

3. In the dialog that opens, click “Sign in with Google”.

4. Choose your account on Google's authorization screen and approve the requested permission.

5. When you return to Piyzi the Google Calendar card shows “Connected”.

Requested permissions

• Create events: to set up the calendar event and the Meet link when an online appointment is booked.

• Update events: to change the event time when the appointment is rescheduled within the same day.

• Delete events: to remove the event when the appointment is cancelled or moved to another day.

• Offline access: so events can still be updated for cancellations and reschedules that happen while you are not signed in to Piyzi.

Google is asked for a single permission: viewing and editing calendar events. No other Google data — Gmail, Drive, Contacts — is accessed. Events in your calendar that were not created by Piyzi are never read, copied into Piyzi, or used when calculating staff availability.

Using the app

1. Create a new appointment.

2. Turn on the “Online Appointments” toggle.

3. Select Google Meet under Meeting Platform. If Google is connected it is already selected by default.

4. Save the appointment — the calendar event and the Meet link are created at this point.

• The join link opens from the appointment detail with the “Join Meet” button, and the event itself with the “Calendar” button; the link also appears on the related sales card.

• The join link is included in the notification SMS sent to the customer when the appointment is created. The reminder SMS sent one hour beforehand does not repeat the link.

• If the customer has an email address on file, they are added to the event as an attendee and Google sends them a calendar invitation.

• If you reschedule within the same day, the event time is updated and the join link stays the same.

• If you move the appointment to another day, the old event is deleted and a new one is created — the Meet link changes, so send your customer the new one.

• If you cancel the appointment, the event is deleted from the calendar.

• For recurring appointments a single recurring event series is created in Google and the same Meet link is used throughout the series; cancelling one date removes only that occurrence.

Removing the app

1. Open My Business → Pi Store.

2. Click the Google Calendar card.

3. Click “Disconnect” and confirm.

• Piyzi removes the connection record; no calendar event or Meet link is created for new appointments.

• Unlike Zoom, Piyzi does not revoke the authorization on Google's side during this step; the app stays listed under “apps with access to your account” in your Google account.

• To cut access completely, go to Google Account → Security → Your connections to third-party apps, find Piyzi and remove its access.

• Events that were already created remain in your calendar; Piyzi no longer updates or deletes them.

• Join links already sent to customers continue to work, and you can reconnect at any time by following the same steps.

If you remove access only on Google's side, Piyzi has no way of knowing: the card keeps showing “Connected” in the Pi Store but no link can be produced for online appointments. In that case open the card, click Disconnect first, then connect again.

Troubleshooting

• The card does not show “Connected”: the consent screen may have been dismissed; open the card and repeat the connection steps.

• No join link was created: make sure the Online toggle is on and Google Meet is selected as the Meeting Platform. If the appointment is not online, no event is created either.

• The link stopped working: if access was removed from your Google account settings the authorization is dropped; disconnect from Pi Store and connect again.

• The customer did not receive the link: check the SMS notification toggle on the appointment and the customer's phone number. For a calendar invitation, the customer record must have an email address.
