Creating and managing recurring appointments
Set up appointments that repeat weekly, monthly or on a custom pattern; learn the rules of the ready-made options and the custom repeat, the one-year limit and the scope of the changes you make to a series.

When you turn on the Recurring Appointment switch in the last step of creating an appointment and choose a repeat pattern, Piyzi creates every appointment of the series in one go. For customers who come regularly (a weekly session, a monthly check-up) you no longer have to enter each appointment one by one. In the mobile app the switch opens the Recurrence Settings window; the options and rules are the same.
Repeat patterns
The ready-made options in the Repeat Type list are worded from the appointment's date:
Every day
Every week on [day]: every week on the weekday of the appointment.
Every month on the [position] [day]: for example every month on the first Monday; if the appointment falls in the last week of the month, on the last such day of the month.
Every year on [day] [month]
Every weekday (Monday - Friday)
Custom: you build your own pattern (below).
The ready-made options create the series for a full year from the first appointment's date; for example Every day opens about 365 appointments. For a shorter series choose Custom. The result of your choice is shown in words on the "Repeat Rule" line of the window.
Check the position written in the Every month on the [position] [day] option before saving: depending on which weekday the 1st of the month falls on, the position is shown one too high on some dates (for example the first Monday of the month may appear as "the second Monday"), and the series is set up by the position shown; the first appointment is still created on the day you picked. If the position is not what you expect, do not use this option: set up the repeat by a given day of the month under Custom, or enter those days as separate appointments. The same applies to the "Every month on the [position] [day]" option under Custom.
Custom repeat
Choosing Custom opens the Custom Repeat Settings window (Custom repeat on mobile):
Repeat Frequency and Time Unit: for example 2 and Week means every two weeks.
Repeat on these days: for a weekly pattern, which days of the week; you must pick at least one.
Monthly Repeat Type: a given day of the month (for example On day 15 of every month) or a given weekday of the month (for example Every month on the second Tuesday).
End: On this date (at the latest one year after the first appointment) or Number of repeats (how many times in total). On mobile these options read Date and Count. You cannot save without an end.
If you choose the 29th, 30th or 31st of the month in a monthly pattern, no appointment is created in months that do not have that day; the result is the same even if "Move to the previous valid day" is selected as the Invalid Date Strategy in the window. Enter the appointments for those months separately.
Rules
An end is required: you have to give the series either an end date or a total number of repeats; an open-ended series cannot be created. With the ready-made options the end is set one year later automatically.
At most 1 year: the last appointment of the series can be at most one year after the first one. If the number of repeats produces a series longer than a year, the appointment is not saved and only a general message that does not give the reason appears (on the web and in the mobile app alike); lower the number or give an end date. For customers who continue longer than that, you create a new series once the period runs out.
A separate sales card for each day: a separate sales card is opened for each day of the series; if the customer already has an open sales card that day, the appointment is added to it.
When you save, only the first appointment's time is checked for conflicts: if the staff member or resource is busy at the first appointment's time, an Appointment Conflict warning appears, and the following occurrences are created without being checked. After saving the series, check the calendar for clashing days. Remind by SMS is also set up only for the appointments on the first day; if you want reminders for the whole series, set up an automation with the "When an Appointment Is Approaching" trigger.
Editing, cancelling and deleting a series
When you edit an appointment in a series, change its date or time, cancel it or delete it, the Recurring Appointment window asks about the scope: Only this appointment affects just that record, while This and all following occurrences (This and following on mobile) also affects the open occurrences after that date. Past, completed, no-show or cancelled occurrences do not change.
If you choose This and all following occurrences while editing, the new time, staff member, resource, duration, price, discount and VAT are applied to the following occurrences too; each occurrence keeps its own day. The following occurrences are not checked for conflicts separately.
A day change applies to a single appointment only. To move the whole series to another weekday, cancel the following occurrences and create a new series.
The session credit and sales card rules on cancellation are covered in the article on approving an appointment, changing its status and cancelling it.
When you delete a series without a sales card (for example one opened with Appointment Planning) with This and all following occurrences, the following occurrences without a sales card are deleted too.
If you want to skip a few weeks because of a holiday or leave, cancel the occurrences on those dates one by one with the "Only this appointment" scope — the series continues unbroken.
