Check-in/check-out records and manual check-in

Record members' check-ins and check-outs by hand in the web panel; a check-in is only possible with an active subscription, and check-ins left open are closed automatically the next morning.

Last updated: 7 October 2026

Subscription Management → Check-in / Check-out Records is the page where you record the members entering and leaving your facility and follow the history. No turnstile, QR reader or card system is connected to Piyzi; every check-in is recorded by hand on this page with Manual Check-in.

Recording a manual check-in

  1. 1
    Open the form

Press Manual Check-in at the top right; the Manual Check-in form opens (press the button again to close it).

  2. 2
    Choose the customer

In Customer, type at least 2 characters of the customer's name or phone number and pick them from the list. Write a short note in Note (Optional) if you want (for example “Accompanied by a guest”).

  3. 3
    Save the check-in

Press Record Check-in; “Check-in recorded.” appears and the record is added to the top of the list with the Checked in badge. The Access column shows the subscription the check-in is linked to, and the Staff column shows who recorded it.

A check-in is saved only if the customer has an Active subscription whose end date has not passed. For a customer whose subscription is frozen, expired or cancelled, or who has no subscription, no record is created and “Could not record the check-in.” appears. Check the customer's subscription status on the Subscriptions page or on the Access tab of the customer card.

If you record a new check-in while the customer already has an open (Checked in) one, the earlier check-in is closed at that moment and marked with the Automatic badge.

Recording a check-out

Press Check-out in the Action column of a row with the Checked in badge, then confirm with Sign Out in the Record Check-out window. The check-out time and the time spent inside are written onto the row, and “Check-out recorded. Duration: … min” appears.

Check-ins whose check-out is not recorded are closed automatically at 06:00 the next morning: the check-out time is set to midnight (00:00) at the end of the check-in day and the Automatic badge appears under it. The duration of these records does not reflect the real exit time.

The table and the filters

  • Columns: Customer, Access, Method, Check-in, Check-out, Duration, Staff and Action. The list shows 50 records per page, newest check-in first.

  • Filters: Method, the Start and End dates and Sort (Newest / Oldest); Clear resets them all.

  • All records show Manual in the Method column; the QR Code and Card options of the Method filter return an empty list.

Check-ins on the day you choose as End are not included in the date filter. For today's check-ins choose only today as Start; for the check-ins of a past day choose that day as Start and the following day as End.

Where check-ins are used

  • A customer's check-ins are also shown on the Check-in History tab of the customer card.

  • Recorded check-ins count as visits in the customer's visit rhythm; several check-ins on the same day count as one visit. In the Recent visits list of the Visit rhythm card on the Overview tab of the customer card, their source is shown as Turnstile.

Automatic jobs

  • 05:00 every morning: active subscriptions whose end date has passed move to Expired.

  • 06:00 every morning: check-ins from earlier days that are still open are closed (check-out time: midnight at the end of the check-in day).

  • 07:00 every morning: fixed-length freezes whose period has ended are lifted and the subscription's end date is extended by the days frozen.

Recording check-ins and check-outs needs the “Manuel giriş kaydı oluşturabilir” (create manual check-ins) permission in your role, and seeing the list needs “Giriş loglarını görüntüleyebilir” (view check-in logs); the workspace owner, the “Yönetici” (Manager) role and the built-in “Personel” (Staff) role all have both.
