Appointment (Lesson) Planning: bulk lesson planning with package credit

Appointment (Lesson) Planning is a wizard that lets you plan recurring lessons or sessions for several participants at once. Each lesson is automatically deducted from the participant's package credit, and when one package runs out the next one is used. It is designed for businesses that work with package credit — courses, group classes, pilates and PT.

First, enable the module

Appointment Planning is a Pi Store module and is off by default.

1. Open My Business → Pi Store.

2. Click the “Appointment (Lesson) Planning” card.

3. Click “Enable”.

Once enabled, the Appointment Planning screen appears in the left menu. If you no longer need it, you can click “Disable” on the same card.

The wizard steps

Planning has six steps:

1. Participants — pick the customers who will attend. You can select more than one.

2. Staff — pick the staff member who will deliver the lesson.

3. Service — pick which service is being delivered. Credit is deducted based on this service.

4. Programme — choose “Single Lesson” or “Recurring”, and set the days and times.

5. Repeat & Package — review which package each participant's credit comes from and how many lessons will be planned.

6. Confirm — check the list of appointments to be created and click “Create Appointments”.

Conflict warning

If the staff member or resource already has appointments at the times you planned, a “conflicts in … sessions” warning appears on the confirmation step. You have two options: go back and change the times, or continue deliberately with “Create despite conflicts”.

After planning

The appointments created are ordinary appointments: they appear on the calendar, reminders are sent, and attendance/status can be updated. Credit is deducted from the package as lessons take place; you can follow the remaining balance on the customer's package detail.
