A new package sale: from a template or manual

Sell a package from a template or from scratch (manual); set the session credits per service and record the payment plan as a collection, a receivable or instalments.

When you click the New Package Sale button at the top right of the Package Sales page (or use the + Create area in the top menu), you first choose the sale type: Sale from Template starts quickly from a ready-made package template, while Manual Sale lets you enter every detail from scratch. A sale from a template runs through a 4-step wizard and a manual sale through a 3-step one; on each step the Next button stays disabled until the required fields are filled in.

The sale flow step by step

    Choosing a template (sale from template only)

    Use the search bar to pick one of your templates. The cards show the template name, the number of services, the validity period and the price. The template you pick fills the package name, the service items, the price, the tax and the validity period into the following steps automatically.

    General information

    Required fields: Customer, Package Name and Total Amount. You can also enter the Sales Consultant (staff member), the Sale Date, the Validity (days — 365 by default), the Cancellation Rights (pre-filled from the template and adjustable at sale time; refunds outside the class cancellation window are taken from this pool), the VAT rate, the "VAT included?" choice and Notes.

    If you opened the wizard from a customer card, the customer field arrives filled in and locked.

    Configuring the services

    Add service items to the package with the "Search and add a service..." bar; use the plus/minus buttons to set the number of session credits for each service. If the package will not be limited to a specific service, the "All Services" button lets you define a single umbrella item valid for every service in the business. You cannot continue while an item still has a count of 0.

    Payment plan and saving

    The top bar calculates the Total Amount, the Payment Plan Total and the Remaining amount live. Use Add Collection for the payment taken at that moment and Add Receivable to record the remaining balance as a debt with a due date; Instalments builds an instalment plan automatically and Distribute Evenly splits the remaining amount equally across the existing rows. Every row holds an amount, one of the payment methods defined in your business, and a date.

    Once the payment plan total matches the package amount, complete the sale with the Save Package Sale button.

The instalment window

  • When you enter the Number of Instalments (1–24), the amount of each instalment is calculated automatically.

  • If the First Payment Date is today, the first instalment is recorded as a collection; if it is a future date, all instalments are recorded as receivables with due dates.

  • You choose the payment method the instalments will be collected with, and the Create button transfers the plan into the payment table.

You cannot save until the payment plan total matches the package amount exactly — the Distribute Evenly button is the fastest way to close the remaining difference.

A package sale does not create a sales card on its own. Package credits are deducted from the service row on the relevant sales card, or from class attendance, when the customer receives the service.
