Online payment when joining an event

Choose per event to take the participation fee by card on your site: optional (the customer chooses) or required (the place is held for 15 minutes and released if unpaid).

Last updated: 8 November 2026

For a paid event, the customer can pay the participation fee by card when joining on your business website.

Prerequisites

  • Online payments must be on: pilot access, a connected Paynkolay account and the Online payments switch in Pi Store (see Online payments: sending a payment link for a receivable). While it is off these settings are hidden and everything works as before.

Setting it up

When creating or editing the event, choose Online payment when joining in the Online Booking step:

  • Off: as today; the fee is recorded as the customer's debt.

  • Optional: the customer chooses “Pay by card now” or “Pay at the event”. If they pay at the event the fee is recorded as a debt (you can also collect it with a payment link).

  • Required: the customer's place is held for 15 minutes and shows as “Awaiting payment” in the participant list. Once paid, participation is confirmed (or waits for your approval if the event requires approval).

  • While the payment is awaited the booking holds the place; no other customer can take it. When the customer taps “Pay by card” the time is extended to at least 12 minutes so it does not drop while they are on the bank page.

  • If the payment does not arrive in time, the booking is released automatically within a few minutes. This is not counted as a customer cancellation (it does not affect the reliability score).

  • The “created / request received” messages, your automations and the staff notification are sent WHEN THE PAYMENT IS TAKEN; nothing is sent for a customer who does not pay.

  • After paying, the customer returns to the site with “Back to where you left off” and gets a “payment received” notification in the app and on the Notifications screen.

You cannot take a manual payment from a participant awaiting payment; the place is released when the time runs out. Capacity shows as taken meanwhile.

Cancellation and refunds

  • If you cancel the event, remove the participant or reject a pending request, online-paid fees become “Refund pending” and you are notified.

  • Refund them from Finance → Online Payments → Refunds pending; the money is not refunded automatically.

Events on a fixed date may be exempt from the right of withdrawal; have your sales texts approved by your legal adviser.
