Freezing sessions for holidays and closures
Freeze sessions in bulk for public holidays, renovation or instructor leave; refund the credits or carry them forward, and undo it if you need to.

For situations such as a holiday, renovation or instructor leave, instead of cancelling your classes one by one you use the Freeze Sessions wizard. You reach the wizard from the Actions menu on the Classes screen.
- 1Date range
Choose the start and end date of the freeze. If you only want to freeze a specific part of the day, turn off the "All Day" switch and enter the times.
- 2Class selection
Select all classes, or tick only the affected ones with multiple selection.
- 3Freeze mode
Refund Credits: the credits for the frozen sessions are given back to the students. Carry to Future Sessions: the credits are moved to later sessions and, where needed, package end dates are extended.
- 4Preview
The system shows how many sessions, attendances, refundable credits and customers will be affected; you can review the breakdown per class.
- 5Reason
Write the cancellation reason (a public holiday, for example). If you leave it empty it appears in reports as "Bulk cancellation".
- 6Summary and confirmation
You confirm every choice and apply the freeze; the sessions on the calendar are suspended.
Undoing a freeze
The Freeze History tab lists past operations with their date range, mode, status and who performed them. If you reopen earlier than you planned, you can make the sessions active again by choosing Undo from the Actions menu on the row; you can also choose to take back the credits that were refunded.
Operations that have already been undone, or that have had another freeze applied on top of them, cannot be undone again.
Freezing a single customer
The bulk freeze above suspends the sessions themselves. If only one customer goes on holiday, you can freeze that customer's lessons without touching the sessions: on the customer detail, open the Class Enrolments tab, press Freeze, pick the date range and choose a mode:
Cancel + Refund + Extend: the lessons in the range are cancelled, the reserved credits are refunded to the package, and the package expiry is extended by the length of the range.
Transfer to Later Lessons: the lessons are moved to available sessions after the range; the credits move with them and the package is not extended.
The preview shows how many lessons will be affected, by how many days the package will be extended in refund mode, and in transfer mode how many lessons can be moved and which ones have no target.
Because it is business-initiated, a customer freeze does NOT consume the cancellation rights on the customer's package. And instead of closing the whole studio, you can freeze one area by selecting just the classes in the room being renovated — the other classes are unaffected.
Freezing works on mobile too. Open Classes and tap the pause icon in the header to reach Session Freezing, which has two tabs: Freeze and the history tab.
Freeze tab
Scope: start and end date; optionally a specific time range; and the classes to include — leaving the class list empty means all active classes.
Credit Policy: Refund (credits go back to the package) or Transfer (attendance is moved to future sessions and package durations are extended). In Refund mode a "Refund credits" switch lets you freeze without giving the credits back.
Cancellation Reason: optional free text.
The Preview button is not optional on mobile — the freeze button only appears after a preview that found sessions, and changing any input clears the preview. Press Preview again after every edit.
The preview reports how many classes, sessions, participants, customers and days are affected, plus the refunded credits (Refund mode) or the amounts to transfer, what falls back to a refund and the packages to extend (Transfer mode). Confirming applies the freeze and moves you to the history tab.
Undoing a freeze
The history tab lists past operations with their date range and a Frozen / Transferred / Reverted badge. Tap one to see who performed it and its credit totals, then use Undo Freeze to reschedule the cancelled sessions and take the refunded credits back.
Freezing a single customer
On mobile, the Classes tab on the customer detail has a Freeze button: you pick the date range and the mode (Cancel + Refund + Extend / Transfer to Later Lessons), preview and apply. The sessions keep running; only that customer's lessons are affected, and the cancellation rights on their package are NOT consumed.
Unlike the web panel this is not a six-step wizard — it is one form. The scope, mode and reason are all on screen at the same time, so you can adjust them and preview again as often as you like.
