Payments and receivables in Facility Rental

Deposits, balances and full payments work like sales cards; payments show under Payments and receivables under Receivables with the Facility Rental source.

Last updated: 7 October 2026

Facility rental payments work like Add payment on a sales card: click Add payment in the reservation window. The button appears when the reservation has a remaining balance and is not cancelled; your role needs Ödeme alabilir (can take payments) from the Finansal (Finance) group (the default Staff role does not have it).

  1. 1
    Add payment

The payment panel opens; Amount is filled with the remaining balance.

  2. 2
    Amount and payment method

Change the amount if needed and pick the Payment method. The method is not preselected. Save payment stays disabled until a method is chosen.

  3. 3
    A receivable?

If you are not taking the money now, turn on Record as a receivable.

  4. 4
    Save payment

“Payment added.” appears and the entry is added to the Payments list in the window.

Three scenarios

  • Deposit: part of the amount is collected (with Take a deposit on the new-reservation form or later with Add payment); the reservation becomes Partially paid.

  • Full payment: the whole remaining amount is collected; the reservation becomes Paid.

  • Receivable: with Record as a receivable on, the amount goes to My Business → Accounting & Finance → Receivables as an unpaid debt. On the web you do not pick a due date; it is the rental's start time (on the phone you can pick one). A receivable does not change the payment status but is deducted from Remaining in the window. Your receivable automations (created, due soon, overdue, collected) also run for it.

Payments plus open receivables cannot exceed the reservation amount; otherwise “The payment exceeds the remaining balance.” appears. Payments cannot be added to a cancelled reservation.

Collecting a receivable

When the customer pays, click the Collect icon on the entry's row in My Business → Accounting & Finance → Receivables; in the Receivable Collection window pick the payment method and click Collect. The reservation's payment status is updated. A collected receivable does not appear in the Payments list; you find it with the Collected filter on Receivables.

Where does it appear?

  • My Business → Accounting & Finance → Payments (page title Collections): payments taken directly, with the Facility Rental source badge; pick Facility Rental in the source field of Filters (labelled Resource) to see rentals only. The go-to button on the row opens the Reservations page.

  • My Business → Accounting & Finance → Receivables: amounts recorded as receivables, with the Facility Rental source.

  • Customer card: on the Payments and Debts tabs, with the Facility Rental source.

  • Reports → Cash Register Reports: payments are included in Total Revenue and in By Payment Method, By Customer and Daily Breakdown; there is no separate line per source.

  • Reports → Facility Rental Report: Collected per facility and the period's Uncollected amount.

The Accounting & Finance menu needs the “Finansal raporları görebilir” (can view financial reports) permission.

Cancellation and refunds

When you cancel a reservation with payments, you choose Refund or Forfeit the deposit (see Creating and managing reservations). Refund cancels the payments and removes them from the cash register and revenue. A pending receivable is always cancelled automatically.

Deliberate differences

Facility Rental does NOT open a sales card. The debt column of the customer report and staff performance figures therefore do not include rentals. A remaining balance does not appear in Receivables unless you create a receivable; follow it in the Remaining field of the reservation window, the Uncollected total of the Facility Calendar (reservations not yet completed), the Facility Rental card on the Overview page and the Facility Rental Report.
