Online payment for facility rentals

When renting a court, pitch or hall on your site the customer pays the deposit (or the fee) by card. In required mode the time slot is held during the payment time.

Your customer pays the deposit or the fee by card when renting a facility on your business website.

Prerequisites

  • Online payments must be on: pilot access, a connected Paynkolay account and the Online payments switch in Pi Store (see Online payments: sending a payment link for a receivable). While it is off these settings are hidden and everything works as before.

Setting it up

In the Rental Rules card on Facility Rental → Facilities, choose Online payment when renting on your site: Off, Optional or Required. For Required, enter the payment time (5–60 minutes).

  • The amount charged is the facility's deposit expectation (never more than the rental amount); if there is no deposit expectation, the full fee.

  • In Optional mode, if the customer chooses to pay the deposit now, the reservation is created as today and they go to the payment page.

  • In Required mode the reservation holds the time as “Awaiting payment”; it appears in the list and the Upcoming tab but not in the approval counters.

  • While the payment is awaited the booking holds the place; no other customer can take it. When the customer taps “Pay by card” the time is extended to at least 12 minutes so it does not drop while they are on the bank page.

  • If the payment does not arrive in time, the booking is released automatically within a few minutes. This is not counted as a customer cancellation (it does not affect the reliability score).

  • The “created / request received” messages, your automations and the staff notification are sent WHEN THE PAYMENT IS TAKEN; nothing is sent for a customer who does not pay.

  • After paying, the customer returns to the site with “Back to where you left off” and gets a “payment received” notification in the app and on the Notifications screen.

For facilities that require approval the payment is also taken when the request is made; a paid request waits for your approval. If you reject it or the approval time runs out, the payment becomes “Refund pending”.

Cancellation and refunds

  • If the customer cancels within the cancellation window, the online-paid amount becomes “Refund pending”.

  • If staff cancel with “Refund the deposit”, payments taken in person are cancelled as before; online payments become “Refund pending”.

  • Refund them from Finance → Online Payments → Refunds pending.
