Class sessions and taking attendance

Follow sessions in the calendar or list view; take attendance in the session detail, mark people in bulk and check the credit deduction.

The Sessions screen inside Class Management opens in the weekly calendar view by default; you can switch to the List view from the top right.

List view filters

There are filters for the class name, time (All Dates / Today / Upcoming / Past / Custom), status (Scheduled / In Progress / Completed / Cancelled), sorting and capacity state (Has Free Places / Completely Full). The columns are: Class, Date/Time, Instructor, Room, Occupancy, Duration and Status.

Session detail and attendance

When you open a session, the participant list appears. You mark each participant with one of these statuses:

  • Pending: not marked yet.

  • Attended: attended the class.

  • No-show: did not come to the class.

  • Late cancellation: cancelled outside the free cancellation window.

  • Excused: did not attend, with a valid excuse.

  • Cancelled: the attendance was cancelled.

With the Bulk Attendance menu at the top right you can mark everyone on the list at once. The actions at the top let you edit the session, close it with Complete Manually or cancel it.

Credit deduction and what happens to the credit

The package credit is deducted automatically at the moment you chose in the class policy. An information message on the screen states when it will be deducted; once it happens, the package and the remaining credits appear on the participant's row.

When you change the status of an attendance whose credit has been deducted or reserved, the system asks a single question: Refund (the credit goes back to the package) or Forfeit (the credit stays deducted). The decision is entirely at the staff member's discretion.

Refunds made outside the cancellation window are taken from the package's cancellation-right pool; in that case a "Cancellation right used" badge appears on the participant's row. The package's cancellation rights are defined at the time of sale.

Do not forget attendance when the class ends: attendance you have not entered piles up in the "Pending Attendance" counter on the Overview and in the action centre.
